Overview

VYANA Edge (the “Extension”) helps licensed healthcare professionals generate structured Electronic Health Record (EHR) documentation from doctor–patient conversations. This policy describes how Vyana Technologies, Inc handles information when the Extension uses server-based processing provided by Vyana Technologies, Inc or its subprocessors.

Information We Collect

• Audio input you explicitly start via the Extension to capture the clinical encounter.
• Derived text such as transcriptions, summaries, and structured assessments (e.g., ICD-10, LOINC, SNOMED CT codifications).
• Technical diagnostics (e.g., error logs, performance metrics) to maintain service reliability—never used for advertising.

How We Use Information

• Clinical documentation: To transcribe conversations and produce structured outputs you can review and insert into your EHR.
• Service operation & security: To provide, secure, and improve the service (e.g., scaling, abuse detection).
• Support: To assist you when you contact us for help.

Processing & Transfers

• Encryption in transit and at rest: Data sent to our servers is protected with modern encryption.
• Regional processing: Where possible, data is processed in the region closest to you. Cross‑border transfers follow applicable legal mechanisms.
• Subprocessors: We may use vetted providers (e.g., cloud infrastructure, speech-to-text). A current list is available upon request.

Storage & Retention

• Minimal retention: Audio is retained only as long as needed to generate outputs, then deleted, unless your organization enables retention for audit or quality improvement.
• Derived text: Structured notes may be stored for a limited retention period to support editing, EHR export, and traceability, after which they are deleted or de‑identified.
• Logs: Limited technical logs may be retained to ensure service reliability and security.

Sharing

• No selling of data: We do not sell or rent personal information.
• Service providers: We share information only with subprocessors bound by confidentiality and security obligations.
• Legal compliance: We may disclose information where required by law or to prevent harm, following due process.

Security

• Encryption in transit and at rest; strict access controls; continuous monitoring.
• Role‑based access for support; activities are logged and reviewed.

Permissions

The Extension requests only the minimum necessary Chrome permissions. We do not use data for purposes unrelated to the extension’s core functionality.

Your Choices & Rights

• Controls to start/stop audio capture and export notes to the EHR.
• Request access, correction, deletion, or a copy of your information via comms@vyanatech.com (subject to provider/employer obligations and law).

Children’s Privacy

The Extension is intended for professional clinical use and is not directed to individuals under 16.
